Research consistently shows that the first four hours are critical for narrative control. After four hours, a negative story has typically been picked up by secondary outlets and amplified on social. Your monitoring system should be set up to deliver real-time alerts to a designated on-call communications team member, not just a daily digest.
Building Your Journalist Relationships Database
Monitoring is only half the equation. The other half is knowing who covers your beat before you need them. Maintain a live database of journalists who write about your industry, their publication reach, their recent coverage themes, and the last time your team contacted them. When a positive story opportunity arises, you want to reach the right journalist in minutes, not hours.
Measuring Your PR Program
Track: share of voice (your brand mentions vs. competitors), sentiment ratio (positive / total mentions), earned media value of coverage, journalist response rate, and press release pickup rate. Review monthly and set quarterly improvement targets. A well-run PR monitoring program turns reactive crisis management into proactive narrative ownership.
